We've been asked by the Officer Commanding to send out some letters to different buisnesses reference a charity event that we are holding here. She wants donations of money or prizes for a raffle.

No one has provided us with what company's to send them to, so the letters are just in blank envelopes and will be posted through the door.

I said that personally I wouldn't pay much attention to the letter and would possibly open it but more that likely throw it away. My boss and dingle agreed.

I was wondering, would you read the whole letter (the charity part isn't mentioned until the end), would you donate money or a prize, or would you just throw the letter out?

maybe if you say that if they donate x dollars they appear someone on a thank you to the sponsors sheet and if you donate xx dollars the company appears higher up on the list?

I'm pretty sure they would be happy to give if they knew they were getting a little something back for it. And giving money to a charity for a business is a good look too, particularly if prospective customers like the charities they are giving to.

I can't change anything about the event.

I know that if they donate something that they are being invited to the event and that they get a complimentary drink.

I do agree that it looks good on the buisness if they support charities, however, the letters are unaddressed and don't go into any detail about the charities until the end of the letter.

I'd bin it.

Actually no I'd probably read it mainly because I read everything that comes through our letter box If I was at work though, I wouldn't have bothered.

Random blank letter coming in my door asking for money?
I think you should try make it as official looking as possible.

Have a logo on the letter and put in in those envelopes with the window and such.

But I'm sure most people would read it anyway but businesses are busy and you need to maximise the amount of people taking it seriously.

I'd be the same, if I got it at work, I'd open it and then probably throw it before I had chance to read it all through.

The letter itself is on my unit's official letter-headed paper and they are in posh envelopes.

Blank envelopes are never a good idea, they create an instant defensive response mentally. Even a business likes the personal approach, it's human beings picking them up.
A little more preparation and care might just double you're strike rate next time. Spend some time amassing lists of the sort of places you might approach, they might even be available online, I don't know.
Address the envelopes to the boss's title, be sure to get it right, another positive ego-trigger.
Make the envelopes appear business-like, it opens portals in their minds, fits their pre-conceptions, and means mentally they are taking you more seriously.
Be sure to keep it relatively light, whatever the cause, you need to keep them up-beat, in a positive frame of mind.
Finish on a high, a happy note, it makes a big difference to their emotional responses.
I've done a bit of fund-raising in my time, successfully, and researched it before-hand.
Hope that helps.

Thanks, I was basically just asked to put the letters into envelopes (after I offered to type up the letter as a favour). I personally don't have the time to do yet another job that isn't mine, when I'm trying to do quite a lot of my own jobs plus a few others anyway.

As I said in my OP, I know it would be better to have addressed them to companys, but the people in charge just asked that the letters be taken around and given to buisnesses, there was no guidance as to where they wanted them to go.
